Terms & Conditions

Subscription & Account Balance Terms

1. Monthly Subscription Fee

Each module the branch uses (Billing, Restaurant, Payroll, Dental) has its own plan. On the 1st day of every month, each module's plan price plus its usage charges are automatically debited from the user's prepaid account balance. The plan price is charged every month the branch is active, whether the software is used or not.

Current plans (per month, per branch):

Billing · bills of each type

  • Each allowed user above 1 adds 20% of the month's bill (2 users +20%, 3 users +40% …).
  • Increasing the number of users applies at once, and that month is charged on the new number. Reducing it applies from the 1st of the next month; the current month stays charged on the old number.
  • Upgrading a plan applies at once, and that month is charged on the new plan. Downgrading applies from the 1st of the next month; the current month stays charged on the current plan.
  • Plan prices rise 10% each year on the joining anniversary; per-unit rates do not change.
  • In the first month, charges are for the days used.
  • GST is added on top where applicable.
2. Prepaid Account Balance

Payments made to BillX are advance payments of the user's own subscription fees for BillX software. They are shown as a prepaid account balance, from which the monthly subscription and usage charges are deducted.

  • The account balance can be used only for BillX's own software services.
  • It cannot be withdrawn as cash, transferred to any other person or account, or used to pay any other merchant.
  • It is not a wallet or stored-value payment service.
3. Account Balance & Auto-Deduction

Users are encouraged to maintain a minimum account balance of Rs. 100. Below it, new bills are paused until money is added; receipts and payments continue. If sufficient balance is not available, the monthly subscription fee will still be auto-deducted, and the account balance may become negative.

4. Negative Account Balance & Grace Period

The account balance is permitted to go negative up to the deactivation limit of the branch's plan, shown in the table above — about three (3) months of the plan price (Rs. -100 on the Free plan). With several modules, the most generous limit applies. During this period, the account will remain active, and the user may continue to use the software.

5. Account Deactivation

Once the account balance reaches the deactivation limit, the account will be automatically deactivated.

  • Access to the software will be restricted.
  • Billing, invoicing, and other services will be unavailable until payment is made.
6. Account Reactivation

A deactivated account can be reactivated by:

  • Paying the entire outstanding negative account balance
  • Paying the current month’s subscription fee, if applicable
7. Outstanding Dues

All unpaid subscription charges accumulated during the active or grace period must be cleared in full before reactivation. Partial payments will not reactivate the account.

8. Data Retention

Data will be retained for a limited period after account deactivation as per company policy. The company is not responsible for data loss if the account remains inactive beyond the retention period.

9. Refund Policy

Subscription fees once deducted are non-refundable, including fees deducted during negative balance periods. A duplicate payment, or a payment debited from the user's bank but not added to the account balance, is refunded to the original payment method within 5–7 working days.

10. Acceptance of Terms

By using the software, the user agrees to the automatic monthly deductions, the prepaid account balance terms, the negative balance policy, and the account deactivation rules described above.
